Terms of service

Who we are
Instructor Office is run by Clayton Robinson and Tony Mihill in Southend-on-Sea, Essex (“we”, “us”). Contact: hello@myinstructoroffice.co.uk, or our contact form. These terms apply when you create an Instructor Office account or use our apps or website. Pupils and parents using the free pupil app are covered by our privacy notice; these terms are for instructors.
Your account
- You must be 18 or over and teaching, or training to teach, learner drivers.
- Keep your password private. You are responsible for what happens on your account.
- One account is for one instructor. Please do not share it.
The free month
New accounts get every feature free for 30 days. We do not take a card for the free month. When it ends, the app asks whether you want to subscribe. If you do not, your account pauses: you can still sign in to download your data, and we keep it for 90 days before deleting it.
Your subscription
- Instructor Office has one plan. It costs £12 a month including VAT at 20% (£10 plus VAT) and includes every feature, the AI features and a monthly allowance of AI credits. The price shown when you subscribe is the price you pay.
- You subscribe and pay on our website by card through Stripe. Payments are taken monthly in advance on the same date each month.
- If a payment fails, we will tell you and try again. If it still fails after 14 days, your account pauses until it is paid.
- We may change the price. We will tell you by email at least 30 days before, and you can cancel before the change takes effect.
- The plan includes a monthly allowance of AI credits, shown in the app. Unused credits do not carry over. When they run out, AI features pause until the 1st of the next month; everything else keeps working.
Driving school accounts
A driving school account costs £10 a month plus VAT for the school dashboard, plus £10 a month plus VAT for each instructor seat. Every seat includes all the features, including the AI features. The school chooses how many seats it pays for and can change this at any time; a seat added part way through a month is charged from the day it is added to the end of that month. Seats removed part way through a month are not refunded or credited; from the next bill the school pays only for the seats it then has. Instructors who join a school with its PIN use one of its seats and do not pay us themselves while they are in the school. If the school stops paying, its instructors can carry on with their own plan.
The school can see what is listed in our privacy notice under “Driving schools” and nothing else of its instructors’ records. Instructors own their own pupils and records and keep them if they leave. The school is responsible for the pupil enquiries it adds and sends to its instructors.
Referrals and trainee instructors
Referrals. When an instructor creates an account with your invite link or code and pays their first month, you get one free month: a credit worth one month of your plan, taken off your next bill. If you are not paying yet, it is added when you choose a plan. You can earn up to 12 free months in any 12 months. A code can only be used before your first payment, and not on your own account. Free months have no cash value, and we may withhold them if the scheme is misused, for example with made-up accounts.
Trainee instructors (PDIs). If you hold a DVSA trainee licence, you can ask for free access to the plan. We check each request. It lasts until the expiry date of your trainee licence, then you can choose a plan or send us a renewed expiry date. We may end it if the details given are not correct.
Cancelling
Cancel any time from your account page on our website. Your plan runs to the end of the month you have paid for and is not renewed. We do not refund part months, except where the law says we must. Your data stays available to download for 90 days after your plan ends. Our data promise forms part of these terms.
AI features
Some features use AI to write text, read photos or understand what you say. AI can make mistakes. Everything the AI produces is shown to you before it is saved or sent, and you are responsible for checking it. AI output is not legal, tax or professional advice.
Using Instructor Office properly
- Only add people’s details when you have a good reason to hold them for your lessons, and tell your pupils you use Instructor Office.
- Do not use the apps while driving. Use On the way, CarPlay and Apple Watch features only when it is safe and legal.
- Do not misuse the service, try to get into other people’s accounts, or use it to send spam.
Your data, and pupils’ data
Your data belongs to you. You can download it at any time. For the pupils and parents you add, you are the data controller and we process their data on your behalf as your processor. We will: only process it on your instructions to provide Instructor Office; keep it confidential; keep it secure; only use the processors named in our privacy notice and remain responsible for them; help you respond to requests from pupils; tell you without undue delay about any breach that affects it; and delete or return it when your account closes. You can ask us for the information you need to show you meet data protection law.
Money between you and your pupils
Instructor Office does not take, hold or pass on payments between you and your pupils, and takes no fee from them. If you link your own Stripe account or add a payment link, pupils pay you directly through that provider, on that provider’s terms, and you are responsible for refunds and disputes with your pupils.
Availability
We work hard to keep Instructor Office running and backed up, but we cannot promise it will never be unavailable. Keep important information such as test dates somewhere else too, and download a copy of your data now and then.
Our responsibility to you
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law. Otherwise, we are not liable for loss of profit, business or opportunity, and our total liability in any 12 months is limited to the amount you paid us in that period.
Ending your account
You can delete your account in the app at any time. We may suspend or close an account that breaks these terms, after telling you why where we can.
Changes and law
If we change these terms in a way that matters, we will update the date above and tell you by email or in the app. These terms are governed by the law of England and Wales.
